At FlexiDesk, we strive to provide a seamless and flexible booking experience for our members and guests. This Booking Policy outlines the terms and conditions related to booking our co-working spaces, meeting rooms, and other services. By making a booking, you agree to comply with these terms.
1. Booking Process
Members: FlexiDesk members can book meeting rooms and other services through our online booking system. Bookings are subject to availability and are confirmed once you receive a confirmation email.
Non-Members: Non-members can also book meeting rooms or other facilities on a one-off basis. Non-member bookings must be made through our website or by contacting us directly at [email protected] or 0483 987 450.
2. Booking Cancellations
Members: If you need to cancel or reschedule a booking, please do so at least 24 hours in advance to avoid any charges. Cancellations made less than 24 hours before the scheduled booking time may incur a cancellation fee equivalent to the full booking cost.
Non-Members: For non-members, a cancellation fee of 50% of the booking cost applies if the booking is cancelled within 24 hours of the scheduled time. Cancellations made more than 24 hours in advance will not incur any charges.
3. No-Shows
If you fail to attend your booking without prior notice (a 'no-show'), you will be charged the full cost of the booking. FlexiDesk reserves the right to restrict future bookings for repeated no-shows.
4. Booking Modifications
Changes to Booking: Modifications to booking times or room allocations must be requested at least 24 hours before the scheduled time. We will do our best to accommodate your changes, but availability cannot be guaranteed.
Upgrades: If you wish to upgrade to a larger room or add services such as catering or additional equipment, please contact us in advance, and we will accommodate your request based on availability.
5. Payment
Members: Payments for bookings are automatically charged based on your membership plan. Additional services (e.g., extended room hours, equipment hire) will be added to your next billing cycle.
Non-Members: Non-members are required to pay for bookings in full at the time of confirmation via our online payment system.
6. Use of Facilities
Meeting Room Etiquette: Please ensure that meeting rooms are vacated promptly at the end of your booking time. FlexiDesk reserves the right to charge for any time over the booked period.
Damage and Cleanliness: Any damages caused to FlexiDesk property during your booking will be your responsibility to repair or cover the costs. We also expect that all members and guests leave the space clean and tidy.
7. Liability
FlexiDesk is not responsible for any personal belongings left in the co-working space or meeting rooms. Please ensure all valuables are taken with you at the end of your booking.
8. Dispute Resolution
Any disputes arising from bookings shall be resolved through mediation. If mediation is unsuccessful, both parties agree to submit to the exclusive jurisdiction of the courts located in Queensland, Australia.
